Outlook Kalender in Call Routing Rules (kb2320)

Question

When inserting an appointment into the Outlook calendar a corresponding Call Routing rule will not run immedialtely as wanted. Why ?

Answer

An appointment within the Outlook Calendar has some additional properties:

  • display as busy
  • display as out of office

If a new appointment is entered or an existing appointment is edited Outlook will not tell the Exchange Server immediately the free/busy information but instead uses intervals to transfer all new informations. Therefore the information is not availalbe immedialtely available for the own Call Routing situations "I am busy" or "I am out of office".

It is possible to change the default update interval from 15 minutes. Please follow these instructions:

  • Open Outlook 2000's menu item Options within the Extras menu.

  • Open the Calendar Options... on the first dialog page Prereferences.

  • Open the Free/Busy Options... in the following dialog.

  • The second input line is the interval Outlook updates the Free/Busy informations on the Exchange Server. You should change this value from 15 minutes to e.g. 2 minutes. Please keep in mind that you will increase the network traffic by decreasing this value.

From now on all appointment changes will be updated more often on the Exchange Server and are therefore faster available within your Call Routing situations "I am busy" and "I am out of office".
